On March 30, the Elevate team successfully completed an important milestone in our implementation of Workday: Unit Testing. This involved testing specific, discrete “actions” in Workday (e.g. Requesting Time Off). Our Human Capital Management and Finance teams completed over 2,500 unit tests over the course of 5 weeks, helping to identify and resolve any issues or defects, ultimately resulting in a stronger design. This is just the first of many testing exercises. We'll begin the first round of End-To-End testing this summer, and Performance Testing and User Acceptance Testing will happen closer to Go Live.

Across our institutions, the Elevate Program continues to engage with stakeholders to ensure that our employees are ready for Workday. Our Project Implementation Team (PIT) Crews, composed of over 350 staff members, are working hard to build awareness and ensure readiness for their units. Last month, we expanded our outreach specifically to faculty members by establishing a Faculty Advisory Committee (FAC). The goal of this committee is to ensure that the unique needs of faculty are considered. The Faculty Advisory Committee, composed of 21 faculty members, will help the Elevate team understand how to best adapt communications, training, and other resources based on faculty needs.

If you are not a PIT Crew or Faculty Advisory Committee member, the best way to learn about Workday is to attend our Functional Overviews. At our last Functional Overview, we covered Workday’s Employee Self Service features. This included demonstrations of how you can change your emergency contact, add your pronouns, and change your display language in Workday. Recordings and other materials from our Functional Overviews are always available on the Elevate website.

Managing Your Job Applications In Workday

This 45-minute session will introduce the benefits of and key information about the Recruit-to-Hire process in Workday. In addition to seeing a sneak peek of the future internal and external campus job sites, you will also view how to search and apply for internal jobs, and get a behind-the-scenes look at a few of the enhanced recruitment features.

In early May, our team will also be sending out our second Readiness survey  to all employees. This anonymous survey is meant to provide our team with insights into your experience with Elevate, as well as your readiness for the implementation of Workday in July 2023. Please keep an eye on your inbox for this opportunity to provide candid, anonymous feedback. Your contributions will help make our implementation of Workday a success.

Are identity demographics fields in Workday mandatory?

In compliance with federal guidelines, Gender is a required field. However, providing your Race and Ethnicity, Sexuality, Gender Details, and Pronouns is optional.

Workday Feature of the Month: Streamlined Job Applications

Workday will transform the job application and Recruit-to-Hire process. Some of the benefits include:

  • Easier Applications for Internal Candidates: Key data from your Worker Profile within Workday will pull directly into the application, reducing the amount of fields you have to complete!
  • Streamlined Process: All candidate information is in the same system, resulting in a more efficient hiring process and reducing the need for paper forms.
  • Enhanced Collaboration: A structured approval process and enhanced communication ability between recruiting parties will make our hiring process more collaborative.

Job Requisition
A job requisition will be used to create the majority of new positions. Additionally, these requisitions are utilized to formulate the details of a position, access to posting to career sites, and the management of candidates.

Active Candidate
A person with an application for a specific job requisition. Candidates must be linked to a job requisition for Workday to initiate a job application event.

Autumn Stasulli (UMD ‘15) has been with the University of Maryland since 2017. Prior to joining the Elevate Program, she was a coordinator in the University Human Resources (UHR) Support Center where she assisted with inquiries relating to PHR, the state of Maryland Benefits system, and eTerp. While in the Support Center, she co-launched the UHR ServiceNow software that provides insight into the call/email volume and types of inquiries the Support Center receives, which has helped UHR to have a better understanding of customer needs and resolution. Autumn is excited to be working on the Elevate Project as she gets to continue working alongside campus stakeholders and be able to incorporate their ideas in creating a new recruitment process!  Outside of work, Autumn enjoys researching ancestry and gardening.
