You are receiving this message as a manager or timekeeper in Workday. This email is to notify you of some upcoming changes to timesheets and payroll for managers.
What’s Changing?
As of today, employees and managers are no longer able to make retroactive changes to timesheets. Only timekeepers will be able to make retroactive changes to timesheets. Moving forward, managers or employees will need to submit a request to timekeepers to make retroactive changes to timesheets. You can do this in Workday using the Create A Request task and entering “Retro Time Entry.” You can also bookmark this direct link as a shortcut.
Please note that timesheets are still available for both employees and managers to make adjustments through the Saturday after each pay period. It is after that deadline that only timekeepers will be able to make retroactive changes.
If you are unsure of who your timekeeper is, please contact your HR representative.
Timekeepers should note that you should not make retroactive changes to timesheets during the HR Transaction freeze period noted in blue in the Monthly Payroll Calendar (dates are subject to change).
Please note: All retroactive changes made to employee timesheets will not route to the Manager, but will instead be automatically approved.
Why Are We Making This Change?
Changes to time for retroactive periods are causing processing errors within payroll when those changes are processed during each period's payroll processing window.
How will this work?
Let’s look at the below excerpt of the Payroll Calendar for March.

- Employees, Managers, and Timekeepers can all make changes to timesheets during the week following the close of the pay period, as they have done in the past
- Timekeepers can update retro time day 8 through day 10 of a pay period. For everyone else, timesheets are no longer accessible for retro changes.
- NO retro time adjustments should be processed for any and all pay periods during the HR Transaction Freeze, noted in the above graphic in blue.
- Please note that timekeepers will not be able to make any retro changes from March 19-25 for PP18 and prior. Timekeepers will be able to make retro changes again beginning March 26.
- After each HR Transaction Freeze, timekeepers can again make retro changes to prior timesheets.
