Our July 2023 Go Live date may have felt like a distant future for some, but we are fast approaching the launch of our new Finance and Human Capital Management systems in Workday, with approximately ten months to go. So much has been accomplished over the past year and a half, with much more to do in the coming months. As you begin your academic year, the Elevate Team will be hard at work testing Workday to ensure the system meets our business needs, refining our data integrations, and building course materials for our system training, which will deploy in April 2023. 

Our PIT (Project Implementation Team) Crews have also been working hard behind the scenes to prepare their units for Workday. PIT Crews have been responsible for a number of key preparation activities, including security role mapping and cleaning up data in PHR. These activities are key to ensuring our transition to Workday is a smooth one.

Have you attended or watched any of our Functional Overviews? Our team has held six Functional Overview sessions, each covering a different facet of Workday. If you are eager to get previews of the system, I would encourage you to visit our Functional Overview page on our website and see if there is anything that you may have missed. If you are short on time, you can even watch a demonstration on its own - most are under 10 minutes!

Next month’s Functional Overview is called Workday’s Got Talent (and Performance). This session will cover Workday’s Talent module, which has a lot of new functionality for employees to track their education, career interests, certifications, training, and more. It will also cover Performance in Workday, which is where managers and employees will complete their PRD (Performance Review and Development). Workday Feature of the Month: Purchase Requisitions

• Workday will be the single point of entry for all purchase requisition activity, including a seamless integration with ShellShop.
• Requisitioning will move through the process with electronic approvals and forms.
• Workday will allow for visibility into the status of your requisitions using reporting tools.
• Workday will make navigating your procurement needs easier with help text, validations, and guided tours.

How will we be trained in Workday?
Training will be delivered in a few different mediums: On Demand Computer-based training (asynchronous), virtual instructor-led training (synchronous), and job aids (documentation).

Training will be security role-based, for the parts of the system each user will be using for their jobs. It will be delivered in the Spring of 2023 before the system rolls out in July so that everyone gets the training they need. In addition, there will be User Labs, which includes hands-on training, offered before and after Go Live for additional help.

What is On-Demand Computer-Based Training (CBT)?
Online self-paced training will be available on-demand and will cover multiple topics of specific functions or areas. CBTs will be used as the primary method for introductory/overview training and training on topics where more formal and detailed hands-on training is not required. 

When will employees be able to get hands-on experience in Workday?
Users will begin to get hands-on experience in the system during training, which will begin in April 2023. During training courses, users will be able to view Workday through Workday simulations and walkthroughs. Users can also attend User Labs which provide access to the Workday training tenant.

On July 1, 2023, all users will be granted access to Workday when it goes live.
