Student Onboarding

Student Onboarding is a business process utilized to ‘onboard’ students as they matriculate into UMD or as they prepare to begin a new semester.

The business process is broken down into steps that use Workday functionality to shape a student’s onboarding experience. Steps can include services, actions, documentation, to-do steps, and questionnaires.

Student Onboarding is a business process in Workday that allows UMD to stagger and disseminate onboarding materials in waves to a student. The business process can:

  • Be organized to UMD’s liking, with steps being based on themes or levels of importance
  • Include steps related to sensitive student data early on, prompting a student’s completion before other tasks
  • Include holds, requiring students to submit additional information and complete certain steps before being allowed to register for courses or engage in other activities in Workday
  • Include links to external sites or systems that host activities for students to complete

New Student Onboarding

Students who are newly matriculated into the system will go through a process that is called New Student Onboarding in Workday. Steps for students who will complete New Student Onboarding might include:

  • Reviewing a new student checklist
  • Reviewing personal information
  • Reviewing home contact information
  • Reviewing instructions for an academic plan
  • Acknowledging the UMD Course Registration Agreement
     

Continuing Student Onboarding

Students who are returning for a semester at UMD will also go through onboarding. This process is known as Continuing Student Onboarding in Workday. Steps for students who will complete Continuing Student Onboarding might include:

  • Reviewing 1098-T delivery options
  • Acknowledging the UMD Course Registration Agreement
  • Completing Federal Student Aid Authorization Self-Service
  • Reviewing permissions for third party accounts
  • Reviewing Friends and Family

Meet Jane. Jane is a sophomore at a university. She logs into Workday and notices that she has a hold on her ability to register for courses. She also sees that she has items in her My Tasks inbox. Once she opens her inbox, she sees a group of onboarding tasks. When she completes this group of tasks, more groups of tasks appear in her inbox. She completes all the necessary steps in the Continuing Student Onboarding process, and the registration hold is removed. Jane is now ready to register for classes for the upcoming semester.


Do I still need to complete onboarding even though I already have completed a semester at UMD? 

Yes, both students who have already completed semester(s) and students new to UMD will need to complete onboarding.

Can I register for a course before completing student onboarding? 

Individual student scenarios may vary, but typically students can register for classes after:

  • Completing student onboarding for the upcoming semester
  • Meeting with their College or Department advisor, if required
  • Reaching their assigned registration appointment time

The exact timing depends on how the New Student Onboarding and Continuing Student Onboarding processes are configured at UMD.
