Training is Coming!

End-user training for Workday Human Capital Management (HCM) and Finance will launch in less than three weeks! On July 17, 2023, all faculty, staff and student workers will gain access to training materials and resources, including:

  • On-demand courses (CBTs)On-demand courses are computer based training courses that provide information about Workday and how to complete key tasks. These courses can include demo recordings and ‘Try It’ simulations.
  • Job aids: Simple, clear instructions on how to initiate a task. The most up-to-date job aids will be available anytime, in one repository, for all users.
    Learning Hubs: Landing pages on the Elevate website that will will organize training content into easy-to-access areas based on functional area. Learning Hubs will contain the links to access job aids.

Users will have approximately four months to complete their training before Go Live. Training should not take four months, but it is our hope that the extended window allows you to find a time to complete your recommended course(s), as we know many are busy.

Workday training is based on security roles. Before July 17, users will receive an email with their security roles, recommended and optional CBTs, and the link to self-enroll in courses.

  • Academic Appointment: Legacy Term: PHR Appointment (Faculty-specific detail)
    An academic appointment is a record of the faculty relationship to an academic unit, over a period of time, on a particular academic track. Academic appointments document the faculty relationship to the institution including rank, title, tenure, and permanent status details, etc. The information for each appointment is associated with an academic unit.
  • Academic Appointment Identifier: Similar to Legacy Terms: Primary Appointment, Joint Appointment Indicator and Joint Appointment Code
    At the appointment level, an Appointment Identifier will distinguish between primary and secondary as well as joint or joint across institutions. This is a required field on an Academic Appointment.
  • Academic Appointment Track Type: Legacy Term: Category Status (Cat Stat)
    Each academic appointment is associated with a Track Type. Track type defines the academic track to distinguish appointments for Tenured/Tenure Track, Professional Track, Librarians, Emeriti, Academic Leadership, and Other Faculty. Academic track types are configured to differentiate academic appointments based on rank and eligibility for promotion, tenure, and sabbatical programs.

Can I choose to take online or in-person training?
The majority of users will take on-demand computer-based training courses. A subset of centralized roles will be taking virtual instructor-led training. Optional user labs will be available later this summer to give you an opportunity to ask questions on given topics/functional areas. Information about user labs will be available on the Elevate website.

What is the time commitment for training?
Everyone will take the Introduction to Workday course which is about 45 minutes. 

If you have a Human Capital Management (HCM) or Finance security role, you will take 90 minutes of prerequisite training before taking your role-specific curriculum. 

A role-specific curriculum is established for each security role. For campus units, time estimates for role-specific curriculums (including both recommended and optional courses) are the following: 

  • For HCM, the average length of the role-specific curriculum is 3.5 hours. 
  • For Finance, the average length of the role-specific curriculum is 2.5 hours. 

The Elevate team will communicate with all staff about the security roles you are assigned and the courses to take.

Do I have to take training?
Taking your recommended training courses is strongly encouraged, and completion data is tracked. While completing Workday training is not tied to your access, the training courses will help you prepare for completing your tasks in Workday.

In addition to the available courses, you will have access to job aids. Job aids are simple, clear instructions to complete a task. The most up-to-date job aids will be available anytime for all users.

Training Specialist

Amelia Barabak joined the University in 2017, taking a position in human resources for Enrollment Management. She enjoyed working on special projects for the department, including developing an onboarding process for new hires to the department, before taking a position as Training Specialist with Elevate in 2022. “Being part of the Elevate Program is so much fun because I am challenged to learn something new every day,” Amelia says about her current role. “For a curious person like myself, it is so exciting.” Amelia’s number one dream is to be cast in her favorite TV show, Survivor, but if you can’t catch her there, hopefully you will catch a glimpse of her at an Elevate event sometime soon.
