The ElevateR | June 2024

Message from Jack J. Blanchard, Associate Provost for Enterprise Resource Planning:

The relative quiet of summer is a good time to make progress on your Workday training, especially if you have several recommended courses. You can receive your recommended and optional Workday courses via email anytime by visiting our website.

The Elevate Program has additional resources that can help supplement on-demand training courses, including:

Business Process Workflows

Business process workflows help you visualize a process in more detail, from the initiation step to the last step, of a business process. Each workflow has two components. There is a workflow diagram which offers a visualization of the process. There is also a corresponding table with workflow details. These tables can contain more information than is provided in the diagrams, like any perquisite information for the Initiation step, for example.

Key Changes

This database outlines the differences between current state and future state. Differences can include policy, procedure/process, expectations, staffing, organizations and roles, and/or systems.

This resource is a work-in-progress, and will be continually updated and added to as we approach Go Live. You will access this resource by logging in via single sign-on/UMD’s central authentication service and providing a one-time consent to release minimal data to the database. You can access Key Changes via our Crosswalks and Guides page, or at the link below.

Featured FAQs

How can I stay up-to-date on important dates and “freeze periods” for the period of transition to Workday?

There are a few ways to stay informed about the cutover period and last day activities for our legacy systems. First, you can bookmark the Last Day Activities page on our website. This page is kept updated with the latest information about all freeze dates and the last days to complete activities in legacy systems. Additionally, this same information is reflected on our Google Calendar, which you can also subscribe to and add to your own calendar for reference.

What resources should I use to help my understanding of new business processes in Workday?

Detailed business process workflows are available to complement courses and other resources. The Glossary is another great resource to help you familiarize yourself with terminology. We also suggest checking out the Security Learning Hub and the other Learning Hubs dedicated to different functional areas. Access the Approving in Workday job aid to learn more about the differences between approving and reviewing items.

Words of Workday

Career Profile

The Career Profile Consolidates multiple tasks for managing talent data into a single page, and involves no approval or review step. It can hold certain talent data, like Job History, Skills, Work Experience, and Awards. All other talent data is housed on the Career tab of the Worker Profile.

Contingent Worker

A Contingent Worker is a non-paid worker or a non-paid non-worker who may be granted system access or services as appropriate, but they are not paid by the University through Workday.

Worker

A Worker is an employee or a contingent worker.

Worker Profile

The Worker Profile is a quick view of each individual Worker's demographic, job, and organization information. Worker data is viewable in the different tabs of the Worker profile, and view/edit access to this data depends on one's security role access.

Workday Tips & Tricks

This Month: The Apps Menu

When you log into Workday, you will see a navigation menu in the top left corner. This is a helpful starting point for navigating Workday.

Your menu will pre-set with some default Apps, such as Requests, Learning, and Absence. However, this menu is customizable! You can add apps via the “Add Apps” function, and you can also edit the order of your apps via the “Edit” function. A max of 20 Apps can display in your menu at once.

Some apps you might add to your menu can include:

  • Personal Information – Employees can use this application to access their personal information and make updates.
  • Benefits – Employees can use this application to access key benefits related tasks and to access the State of Maryland Workday system to update their benefit elections.
  • Pay – Employees can use this application to access their payslips.
