As of today, we are 80 days out from Workday Go Live!

Important cutover dates are fast approaching, with key Last Day Activities beginning on September 13th. Throughout August, key business owners across the University and our institutional partners sent notifications to users of impacted systems to ensure that we are prepared for this critical period in our Workday implementation. As a reminder, all critical cutover dates are on the Elevate website and also on our Google Calendar.

Workday Training Reminders

This afternoon, the Elevate Program will begin sending training reminders to employees. These reminders are meant to empower you to prioritize your recommended training curriculum and track your progress. We will be sending training reminders on a regular cadence to users, based on the extent of their training curriculum.

Please note that if you did not receive an email this afternoon, it is likely that you only have to take Introduction to Workday, and you will begin receiving your reminders in September.

Additionally, some employees may receive direction from central business units office that some courses may be mandatory based on their security access in Workday. This will impact only a select group of employees, who will receive emails outlining the requirements.

This new addition to our Learning Hubs is a great resource for managers to prepare for Workday. Learn about key concepts for managers, including in-depth overviews of supervisory organizations, the worker profile, and staffing models.

 

Featured FAQs

When Workday goes live, will I still use Payroll Online Service Center (POSC)? 

Yes, tasks that are done today in POSC will continue to be done in POSC after UMD Workday Go Live.. Once updated in POSC, the information will be reflected in Workday. POSC is operated by the state of Maryland and is the system of record for the data associated with these tasks.

Can security roles be changed before Go Live?

Employees are constantly being hired, changing positions, and leaving during the course of any system implementation. We expect there will be instances where security roles need to be changed or updated over the next few months all the way up to Go Live and even beyond.

To request a new role or role modification for you or a member of your department/unit, you should contact your PIT Crew Lead with the specifics of your request. Requests should be limited to changes to assignable roles and not general updates to a team roster. For example, hiring a new team member who will only need the Employee as Self role would not necessitate the need for a request. However, hiring a new HR Analyst would facilitate the need for a request to be made.

Supervisory Organization

Supervisory organizations group workers into a management hierarchy. Jobs, positions, and compensation structures are associated with sup orgs and workers are hired into jobs or positions associated with a supervisory organization. You may see them referred to as "sup orgs" in training and readiness materials.

Job Management Staffing Model

The Job Management (JM) staffing model is a structure that defines one set of hiring restrictions for all jobs in a supervisory organization, with no specific limits on the number of jobs that can be filled. Each job is occupied by an employee and when they leave, their job is closed. Note: Job Management is similar to pooled position numbers.

Position Management Staffing Model

The Position Management (PM) staffing model defines different staffing rules and restrictions for each position in a sup org. Employees must be hired into defined positions. Once created and approved, a position number is assigned and remains with the position when an employee leaves the position. 

Workday Tips & Tricks

This Month: My Tasks
  • My Tasks allows you to access tasks which have been assigned to you for completion such as approvals, To Do’s (reminders to complete other tasks sometimes outside of Workday), or additional business process steps. 
    Some tasks will be assigned to you as an individual to complete while others will be assigned to a group. Once completed by any of the group members, the task will be removed from My Tasks of the remaining group members.
  • There are several filters for My Tasks including 
    • All (newest items first, by default)
    • Favorites (items you have starred)
    • Overdue (business process items past their due date)
  • Most tasks that you initiate but don't or can’t submit can be canceled or deleted from your My Tasks inbox. Open the task in My Tasks, click on the gear wheel icon in the upper right corner, then click "Cancel" or "Delete." Then, click “Submit” to finalize the action.
