Introduction to Workday Student
Welcome to the Workday Student 101 Learning Hub.
Workday Student is an inclusive and accessible cloud-based system for student lifecycle related operations. The system is equipped with, but not limited to self-service, 24/7 mobile access, student ownership over their own profiles, graduation plans, and effortless visibility into a student’s financial aid package and billing details.
Workday Student supports operational areas such as academic departments and programs, admissions, student financials, financial aid, and registrar. Please find descriptions of the workstreams that will configure operational areas below.
Academic Foundation & Transfer Credit
The Academic Foundation & Transfer Credit team will implement the foundational components used throughout the Workday Student system. This workstream will support academic organizational structure configuration in Workday for colleges and departments across campus, which consists of Academic Units, Calendars, and Calendar Policies. The team will also configure the Program of Study catalog. They will focus on business processes related to academic programs, including majors and minors, and how they are connected with departments and colleges.
This workstream will also support the configuration of transfer credit articulation in Workday for currently enrolled students, admitted students, undergraduate students, and graduate students. This will include the process of equating courses and granting transfer credit.
Academic Planning & Advising Tools
The Academic Planning & Advising Tools team will support the configuration of a centralized, seamless experience for both Advisors and Students. This workstream will focus on Workday tools and concepts that enhance a student’s experience in advising throughout their academic journey. Tools configured by this workstream will include the:
- Academic Progress Report: Degree audit functionality that guides and tracks student academic performance.
- Academic Plans: An interactive and dynamic degree planning tool that supports graduation planning.
TerpEngage will continue to support academic advising via integrations with Workday.
Admissions
The Admissions team will support all admissions activities at UMD, including undergraduate admissions, graduate admissions, and the Institute of Applied Agriculture, as well as re-enroll processes. While core admissions functionality will be conducted outside of Workday, this workstream will ensure admissions and application data is aligned and integrated with Workday Student.
Curriculum Management and Registration
This team will focus both on Curriculum Management and Registration functionality in Workday.
More specifically, the workstream will configure management of the course inventory, course sections, and instructors. The Curriculum & Registration team will use Workday to enable UMD to:
- Create and approve courses and course sections
- Group courses that overlap in location, content, or time
- Schedule classes
- Manage prerequisites
- Manage how course sections are applied to a given semester and related meeting patterns, locations, and instructors
The Curriculum & Registration team will also configure tools for registering for course sections (e.g. registration appointments and add/drop functionality), developing saved schedules, maintaining reserved seating, and managing waitlists.
Financial Aid
The Financial Aid team will manage scholarships, financial aid requirements, ISIR processing, state aid from the Maryland Higher Education Commission, federal, state, and institutional award packaging & disbursement, and needs assessments in Workday. This workstream will use the financial aid module to calculate need-based and merit-based aid eligibility, determine student aid eligibility using data from FAFSA, and support federal work study.
Student Financials
The Student Financials team will support the Student Financial Services & Cashiering office with assessing student charges, applying payments and waivers, disbursing financial aid and 3rd party contracts, and issuing student refunds. The Student Financials module also encompasses managing student collections and 1098-Ts.
Nelnet will continue to support student bills, student payments, and student payment plans, and integrations will be developed between Workday and Nelnet for a seamless experience.
Student Records & Student Core
The Student Records & Student Core team will regulate academic records and institutional policies in Workday. The workstream will use the Student Records module to support undergraduate, graduate, and professional academic records and define rules for enrollment, grading, GPA, academic transcript, and graduate clearance.
The workstream will also use the Student Core module to manage student information, including personal information, contact information, international or military affiliations, holds, and student accommodations. This module has various features such as student onboarding, hold management, and student directory.

Cross-functional Workstreams
In addition to these key Workday functional areas, the Elevate Student program will also have two cross-functional workstreams, Undergraduate Student and Graduate Student, to ensure that the student experience across the UMD Schools & Colleges is central to our transformation efforts:
Undergraduate Student
The Undergraduate Student team represents the undergraduate student experience and therefore will engage across all of the functional workstreams to help inform policy decisions, shape business practices, and support configuration that impacts undergraduate student, faculty, and advisor experiences.
Graduate Student
The Graduate Student team represents the graduate student experience and therefore will engage across all of the functional workstreams to help inform policy decisions, shape business practices, and support configuration that impacts graduate student, faculty, and advisor experiences.
